Position Summary
The Front Desk Clerk serves as the first point of contact for clients and visitors, providing exceptional customer service and ensuring the smooth operation of the front desk. This role involves scheduling appointments, handling administrative tasks, and supporting the clinical team in delivering quality care.

Key Responsibilities
Patient Interaction
- Greet clients and visitors warmly upon arrival.
- Intake of new clients and verifying personal and insurance information.
- Answer phone calls professionally and assist with inquiries or direct calls to appropriate staff.
- Communicate appointment details and required preparations to clients.
Appointment Scheduling
- Schedule, reschedule, and cancel patient appointments as necessary and communicate with counselors of attendance.
- Maintain accurate records and minimize scheduling conflicts.
- Confirm patient appointments via phone or make any changes accordingly and upon counselors’ availability.
Administrative Duties
- Collect and process payments, including co-pays and outstanding balances.
- Verify patient insurance coverage and update records accordingly.
- Manage and organize patient files, ensuring confidentiality and compliance with HIPAA regulations.
- Coordinate incoming and outgoing mail, faxes, and other correspondence.
- Learn and understand the use of Clinical Management for Behavioral Health Services (CMBHS) website.
Office Support
- Maintain a clean and welcoming reception area.
- Request office supplies and inform management of inventory needs to Administrative Manager.
- Assist with administrative tasks such as data entry, filing, and preparing reports.
- Collaborate with the clinical and administrative team to address patient needs and ensure efficient workflow.
Qualifications
Education and Experience
- High school diploma or equivalent (required).
- Previous experience in a medical office or administrative role (preferred).
- Familiarity with medical terminology and electronic health record (EHR) systems (preferred).
Skills and Competencies
- Strong interpersonal and communication skills.
- Proficiency in using office equipment and computer software (e.g., Microsoft Office, scheduling software).
- Excellent organizational and multitasking abilities.
- Attention to detail and accuracy in record-keeping.
- Ability to handle confidential information with integrity.
Working Conditions
- Work is performed in a clinical/counseling environment.
- May require prolonged periods of sitting and the use of office equipment.
- Interacting with clients who may be ill, upset or under the influence. Protocols will be trained for those si.
